Choose the kind of gathering.
A company thank-you, a client event, and a family Christmas party may need different plans. Decide why you’re gathering and what you want the experience to feel like. That gives you a better starting point than choosing dishes first.
Have a date—and a little flexibility.
If you can, gather a preferred date and a few alternatives. Ask about availability before treating the date as confirmed. Timing affects the venue and other arrangements as well as the food.
Work through the guest list.
Estimate who’s coming and how many people you expect. Ask about dietary needs early, using the level of detail required for menu planning. Consider whether people will arrive together, come after work, or join at different times.
Make the space part of the plan.
Think about room to serve, places to sit or mingle, and the facilities available. If you’re using an office or dealership, discuss access and business activity during setup. A venue photograph won’t answer those practical questions.
Give the budget some context.
Share useful guidance about the overall plan and ask what the proposal includes. Discuss food, staffing, rentals, travel, and other arrangements that may apply. Confirm the total and responsibilities before making a booking decision.
Keep the conversation going.
Make one person the main contact, collect decisions in one place, and confirm deadlines together. If the guest count or schedule changes, raise it early. Clear communication helps the gathering feel relaxed when the day arrives.
